Terms of Service

1. About these terms

These Terms of Service apply to visa appointment booking assistance provided by MaxiSoft, a Dutch sole proprietorship (eenmanszaak) operated by Maksim Piskunov in the Netherlands.

By asking MaxiSoft to begin a service after receiving the service description and fee, the customer agrees to these terms and any request-specific conditions confirmed in writing.

2. Our service

MaxiSoft provides an online administrative and automation service for visa appointment bookings. Depending on the agreed request, the service may include:

  • collecting information required for an appointment application;
  • assisting with completion or submission of booking information;
  • automated monitoring of appointment availability;
  • attempting to book a suitable available appointment using customer-supplied information;
  • notifying the customer after a successful booking; and
  • customer support related to the booking process.

The automation operates remotely on MaxiSoft’s servers. Customers do not need to install software to use the service.

3. Independent service provider

MaxiSoft is an independent service provider. MaxiSoft is not affiliated with VFS Global, any embassy, consulate, government authority or visa application centre. We do not represent those organisations and cannot control their websites, procedures, appointment inventory or decisions.

MaxiSoft provides appointment-booking assistance only. Visa applications, identity checks, biometrics, supporting-document requirements and visa decisions are handled exclusively by the relevant official authorities and providers.

4. No guarantee of availability or visa outcome

Appointment availability is created and controlled by third parties. MaxiSoft cannot create slots or guarantee that a suitable appointment will become available, remain available or be successfully booked. Monitoring frequency and booking attempts may be affected by maintenance, access limits, security measures, technical faults or changes to third-party systems.

A successfully booked appointment does not guarantee acceptance of an application or issuance of a visa. MaxiSoft cannot influence visa decisions.

5. Customer responsibilities

The customer must:

  • provide complete, accurate and current information within the requested time;
  • have the right to provide information for every person included in the request;
  • check the booking confirmation and promptly report any error;
  • remain responsible for official forms, supporting documents, deadlines, travel arrangements and attendance;
  • follow the terms and lawful instructions of the relevant appointment platform and authority; and
  • avoid asking MaxiSoft to use false information, evade access controls or perform an unlawful act.

MaxiSoft is not responsible for a failed, rejected or incorrect booking caused by inaccurate, incomplete, late or unauthorised customer information.

6. Fees and payment

The service fee is agreed with the customer before the service begins. The fee may depend on the destination, appointment type, number of applicants, timing and complexity of the request. Any official appointment, visa-centre, government, payment-processing or other third-party charge is separate unless MaxiSoft expressly states otherwise in writing.

No advance payment is required for MaxiSoft’s service fee. Payment becomes due only after the appointment has been reserved, the confirmation letter has been received and the customer has verified the booking details. An invoice or payment confirmation can be provided. Nothing in these terms limits a mandatory consumer right that applies under law.

7. Changes and cancellation

A customer should notify MaxiSoft as soon as possible if appointment requirements or supplied information change. A change may require a revised fee, a new request or restarting monitoring. MaxiSoft will explain the effect before carrying out additional paid work.

The customer may ask MaxiSoft to stop monitoring at any time before an appointment is successfully reserved. No service fee is due if no appointment has been reserved and no confirmation letter has been received and verified by the customer. Any mandatory consumer cancellation rights remain unaffected.

8. Third-party systems

The service depends on websites and systems controlled by third parties. Those services may change or become unavailable without notice. MaxiSoft does not warrant the continuous availability, accuracy or security of a third-party system and is not responsible for its decisions, outages, cancellations, errors or policy changes.

The customer may also be bound by the third party’s terms and privacy notice. The customer is responsible for reviewing and complying with them.

9. Personal data and confidentiality

MaxiSoft processes personal information as described in the Privacy Policy. The customer authorises MaxiSoft to use the supplied information for the agreed appointment request and to enter or transmit it to the relevant appointment platform where necessary.

Customers should not send information that has not been requested or disclose credentials unrelated to the agreed service.

10. Reasonable care and liability

MaxiSoft will provide the service with reasonable care and skill. To the extent permitted by applicable law, MaxiSoft is not liable for indirect or consequential loss, lost travel opportunities, non-refundable travel purchases, missed deadlines, or loss caused by third-party availability, decisions or system failures.

Nothing in these terms excludes or limits liability where exclusion or limitation is prohibited by law, including liability for intent or deliberate recklessness, or any mandatory consumer protection.

11. Suspension or refusal

MaxiSoft may refuse or stop a request if it appears unlawful, fraudulent, unsafe, technically impossible, inconsistent with third-party requirements, or based on information the customer is not authorised to provide. Where reasonably possible, the customer will be informed.

12. Complaints

If there is a problem, contact MaxiSoft promptly with the relevant booking details. We will review the issue and aim to provide a practical response within a reasonable period. Consumers may also have access to statutory complaint or dispute-resolution procedures.

13. Governing law

These terms are governed by the laws of the Netherlands, without depriving a consumer of mandatory protections that apply in the consumer’s country of residence. Disputes are submitted to the competent courts in the Netherlands unless mandatory law provides otherwise.

14. Changes to these terms

We may update these terms to reflect changes to the service, third-party systems or legal requirements. The terms applicable to a request are the terms provided or published when the customer agrees to that request, unless a mandatory change must apply earlier.
